Terms and Conditions

Please review these terms before confirming a wheelchair rental.

Article 1: Application of Agreement

  1. Tokyo Wheelchair/Osaka Wheelchair shall provide a service through which it rents out a rental wheelchair (hereinafter referred to as “Wheelchair”) to the Renter, and the Renter shall rent the Wheelchair in accordance with this Agreement. Matters not provided for shall be governed by relevant laws, regulations and established industry standards.
  2. Tokyo Wheelchair/Osaka Wheelchair may make special provisions that do not violate this Agreement, laws, administrative issuances or established industry standards. A special provision shall take precedence over this Agreement.

Article 2: Booking and Payment

  1. Booking is confirmed upon the Renter's submission of the Booking Confirmation Form.
  2. If the reservation is deemed infeasible, the Renter will be notified promptly and any payment made will be fully refunded.
  3. Bookings are accepted from three months before the desired start date.
  4. Booking and payment shall be completed no later than five days before the rental period unless a specific deadline is set.
  5. Payment can be made by credit card, debit card or another electronic method provided by Tokyo Wheelchair/Osaka Wheelchair.

Article 3: Rental Procedures

1. Pickup

  1. The Renter must collect the Wheelchair at the location agreed in the Booking Confirmation Form. Collection at our offices or facilities is not available.
  2. Any defects or missing parts must be reported before use.
  3. The Renter must read the user manual and follow all safety precautions.
  4. We strongly recommend appropriate insurance for potential injury or damage during use.

2. During use

  1. The Wheelchair must be handled with care to prevent personal and property damage.
  2. It may be used only by the Renter or users designated before rental.
  3. The Wheelchair must not be modified or decorated.
  4. It must be used and stored responsibly.

3. Return

  1. The Wheelchair must be returned by the agreed date and time at the agreed location, following our instructions.
  2. Late returns without authorization incur a USD 150 fee per day.
  3. Extension requests must be made before the scheduled return.
  4. Extensions may not be possible due to availability.
  5. All parts must be intact on return.

Article 4: Rental Fees

  1. Rental fees are the total of the rental fee, shipment fee and other applicable fees. The quotation will state the amount and basis for each.
  2. Other fees may include optional services, additional equipment or cleaning fees.
  3. Rental periods are calculated by calendar day. A partial day is counted as one full rental day.

Article 5: Disclaimer

  1. Tokyo Wheelchair/Osaka Wheelchair shall not be liable for personal or property damage incurred during use.
  2. This limitation does not apply to damage caused by our gross negligence or willful misconduct.
  3. It also applies to third-party claims arising from use, except in cases of our gross negligence or willful misconduct.

Article 6: Provider Responsibility at Rental Start

  1. We will make every reasonable effort to provide an alternative Wheelchair promptly if delivery is delayed or an issue prevents the rental from starting.
  2. For a delayed start under this article, we will refund the rental fee for delayed days and provide compensation of up to USD 10 per day.
  3. Total compensation will not exceed the rental fees for the delayed period.
  4. The Renter waives additional claims beyond the refund and compensation specified here.

Article 7: Renter Responsibility for Damage or Loss

  1. If the Wheelchair is lost, damaged or rendered unusable due to the Renter's negligence or violation of our ownership rights, the Renter shall indemnify us for resulting repair, replacement and other losses.
  2. Negligence includes improper use, failure to follow safety instructions and unauthorized modifications.

Article 8: Cancellation Policy

  1. No-show: 100% of rental and shipment fees.
  2. Day of rental start: 100% of rental and shipment fees.
  3. One to three days before rental: 100% of rental and shipment fees.
  4. Four or more days before rental: no cancellation fee.
